Driving school software: what should you look for?

Ben Schmidt, Owner of Flowrenix · Updated:

Short answer

Driving school software has to carry the whole process: booking with deadlines, student records, lesson packages, Swiss QR-bills with payment matching and courses, without Excel lists and paper calendars still running alongside. Just as important is that you stay in control of your data: with a complete export, a clear data location and an orderly migration from your previous system.

Where these criteria come from

For the driving school Alfadrive in Olten I built a system in which the entire business runs today: booking, student management, invoices, courses and the website. It was developed in daily operation, together with the driving instructors who work with it. I am not a driving instructor myself; the criteria below come from this collaboration and from what was actually needed day to day.

Before, things looked the way they do in many driving schools: appointments in a paper calendar, students in an Excel list, arrangements via WhatsApp and phone, invoices by hand. It was not for lack of effort. What was missing was a system in which everything comes together. Out of this grew my product Spurana.

1. Booking with deadlines

Students should be able to book, reschedule and cancel driving lessons themselves, including in the evening and at weekends. What matters are the rules behind it: until when is a cancellation free of charge? What happens with a late cancellation? How much lead time does a booking need?

Ask every software provider whether you can set these deadlines yourself and whether the booking appears immediately in the right instructor's calendar. This is not a given: ~1 in 5 with verifiable online booking (own survey, 92 checked driving schools, 18.08.2026: 20 with, 37 without, 35 unclear). At Alfadrive every instructor has their own calendar with availability and a daily schedule.

2. One record per student

Progress, appointments, payments and documents belong in one place. If an instructor is ill and a colleague takes over, they need to see at a glance where the student stands. Check whether the record is also visible to the student, for example with progress and outstanding amounts in a portal of their own.

3. Subscriptions and lesson packages

Many driving schools sell packages of several lessons. The software should bill usage automatically and show the remaining balance, instead of someone counting tally marks by hand. Ask how partial payments, vouchers and discounts are handled. It is precisely these special cases that decide whether billing is right in everyday use.

4. Swiss QR-bill and payment matching

The invoice should be created directly from the recorded services, with a Swiss QR-bill, reference and amount. The way back is just as important: incoming payments should be matched to the open invoice, and if an invoice stays open, a reminder goes out. How this works in principle is described in the article Automating Swiss QR-bills.

5. Courses

Road safety theory and other courses need their own administration: places, sign-ups, participant lists and attendance. At Alfadrive the course instructors have their own area for this. Ask whether course sign-ups run through the same website as driving lessons and whether they end up in the same student record.

6. Data migration

Hardly any driving school starts from zero. Student data, open balances and running packages have to be carried over. Before switching, clarify whether your current program provides an export, which fields will be carried over and what has to be entered by hand. A serious provider tells you this effort before the project starts.

7. Data ownership and export

Your data is the foundation of your business. Ask whether you can get a complete export at any time, in which format and whether it costs anything. This also includes students being able to access their data and have an account deleted. The Alfadrive system has data export, account deletion and a log of changes built in.

With Spurana, the data belongs to you: you can download bookings and reports as CSV at any time, and at the end of the contract you receive an export of all stored data on request.

8. Data location

Student data is personal data. Ask where the database and files are stored and which services additionally process data, for example for email, text messages or payments. In my systems the database and files are stored with Supabase in a data centre in the EU (Ireland). Which component runs where is listed individually on the Tech stack page.

What this looks like in daily operation

At Alfadrive the system now handles by itself what used to be done by hand: booking confirmations after every booking, reminders before the driving lesson, payment reminders for open invoices and daily schedules for the instructors. The system has six areas: website, booking, administration, instructor area, student portal and course instructor area. You can find the full case study under Alfadrive.

Off-the-shelf software or your own system?

If pure industry software fits your driving school, use it. A system from one source is worthwhile if you would have to supplement a standard solution with a website and further programs and lists.

That is what Spurana is for: website, online booking, student portal and Swiss QR-bill in one system, for CHF 250 per month including 1 instructor login, CHF 100 per month for each additional login and a one-off CHF 4'900 for the setup. The target is to go live in 3 working days. You can try it free for 14 days; both pages are in German. I describe the features and process on the page Driving school software.
